ID Verification Policy
How identity verification supports safer room rentals on EazyRoom.

1. Why EazyRoom Verifies Identity
EazyRoom is a marketplace that connects Hosts and Tenants for room rentals across Ireland. Because users are inviting strangers into their homes or entering someone else's property, trust and safety are fundamental to how our platform works.
Identity verification is mandatory for all users — both Hosts and Tenants — before any booking can be made or accepted. This allows us to:
Confirm that users are who they say they are
Reduce the risk of fraud, impersonation and misuse of the platform
Create a safer environment for both Hosts and Tenants
Comply with our legal obligations under Irish and EU law, including anti-money laundering (AML) requirements
Maintain the integrity and trustworthiness of the EazyRoom platform
⚠ Verification is required before any booking can be made or accepted. Users who do not complete verification cannot access listings, submit booking requests or accept bookings.
2. Who Must Complete Verification
Identity verification is required from:
All Tenants — before submitting a booking request
All Hosts — before their Listing goes live and before accepting any booking
There are no exceptions. EazyRoom does not permit anonymous or unverified users to participate in any booking activity on the platform.
3. Accepted Identity Documents
EazyRoom accepts any valid, government-issued photo identity document, including:
Passport (any country)
National identity card (EU/EEA)
Irish driving licence
Driving licence issued by any other country (where it contains a photo and full name)
Irish Residence Permit (IRP card)
Any other government-issued document bearing a photograph and full legal name
The document must be:
Valid and not expired at the time of submission
Clearly legible — all four corners visible, no glare, no cropping
A full-colour image — black and white copies are not accepted
An original document — certified copies or photocopies are not accepted
⚠ Submitting a forged, altered or fraudulent identity document is a criminal offence under Irish law and will be reported to An Garda Síochána.
4. The Verification Process
EazyRoom carries out identity verification manually. All submitted documents are reviewed by trained EazyRoom staff. We do not use automated AI-based verification tools.

Register for an EazyRoom account using your full legal name and email address.

When prompted, upload a clear photo or scan of your government-issued photo ID through the secure upload section of your account.

EazyRoom staff will review your document, typically within 1–2 business days.

You will receive an email confirming whether your verification has been approved or if further information is required.

Once verified, you can submit or accept booking requests on the platform.
If your document is unclear or does not meet our requirements, we will contact you by email to request a resubmission. You will have 7 days to resubmit before your account application is closed.
5. How We Handle Your Identity Documents
5.1 Who Reviews Your ID
Your identity document is reviewed only by authorised EazyRoom staff on a strictly need-to-know basis. Access to ID documents is logged and monitored internally.
5.2 How Your ID is Stored
Identity documents are stored securely on Vercel infrastructure within the European Economic Area (EEA). Documents are encrypted at rest and in transit. They are stored in a separate, access-controlled environment from general platform data.
5.3 What We Extract From Your ID
EazyRoom staff extract and record the following information from your identity document:
Full legal name
Date of birth
Document type and issuing country
Document expiry date
Confirmation that the photo matches the account holder
We do not extract or store your document number, address, or any other information beyond the above.
5.4 Who We Share Your ID With
Your identity document is never sold, rented or shared with any third party, except:
Where required by law — for example, in response to a valid request from An Garda Síochána, the Revenue Commissioners or another competent Irish or EU authority
In the event of a suspected criminal offence — where we may share information with law enforcement without prior notice
Your identity document is never shared with other EazyRoom users, including Hosts or Tenants.
5.5 Retention Period
Identity documents are retained for 3 years after the closure of your EazyRoom account. After this period, documents are permanently and securely deleted from our systems. You may request early deletion of your identity document by contacting dpo@eazyroom.ie, subject to any overriding legal retention obligations.
6. Verification Outcomes
6.1 Approved
Your account is fully activated and you can submit or accept booking requests on the platform.
6.2 Pending — Further Information Required
Your document was unclear, incomplete or did not meet our requirements. We will contact you by email with details of what is needed. You must resubmit within 7 days.
6.3 Rejected
Your verification has been refused. This may be because:
The document submitted was expired, illegible or incomplete after resubmission
The document did not match the name or details on your account
We have reasonable grounds to believe the document is fraudulent or altered
The document is not a government-issued photo ID
If your verification is rejected you will be notified by email. Your account will be locked and you will not be able to use EazyRoom. The Service Fee is not charged to users who do not complete a booking, so no refund arises from a failed verification.
If you believe your rejection was made in error, you may appeal by emailing support@eazyroom.ie with full details within 14 days of the rejection notice.
6.4 Refused — Fraudulent Document
Where EazyRoom has reasonable grounds to believe that a fraudulent, forged or altered identity document has been submitted, we will:
Permanently close your account
Retain a record of the submission in line with our legal obligations
Report the matter to An Garda Síochána
7. Re-Verification
EazyRoom reserves the right to request re-verification of a user's identity at any time, including where:
Your identity document has expired
We have reason to believe your account has been compromised
Significant time has passed since your original verification
We are required to do so under applicable law
Users who fail to complete re-verification when requested may have their account suspended until the process is completed.
8. Your Data Protection Rights
Your identity document is personal data and is processed in accordance with our Privacy Policy (www.eazyroom.ie/legal/privacy) and the GDPR. You have the right to:
Access the personal data we hold about you, including verification records
Request correction of inaccurate data
Request erasure of your data, subject to our legal retention obligations
Lodge a complaint with the Irish Data Protection Commission at www.dataprotection.ie
