Cancellations Policy

What happens when a booking request, a confirmed booking, or an ongoing stay is cancelled or ended early on EazyRoom.

1. Overview

This Cancellations Policy explains what happens when a booking request, a confirmed booking, or an ongoing stay is cancelled or ended early. It should be read alongside the Payment & Refund Policy, the Host Agreement, and the Tenant Agreement, which set out the fees and notice periods referred to below in full.

All arrangements made through EazyRoom are licence agreements between a Host and a Tenant, formed when a Host accepts a booking request. This policy covers cancelling before that point, cancelling immediately after, and ending an agreement that has already started.

2. Cancelling a Booking Request (Before the Host Accepts)

A booking request is not a confirmed booking. Either a Tenant or a Host may withdraw or decline a request at any point before it is accepted.

No charge is applied to the Tenant while a request is pending. If a Tenant withdraws a request, or a Host does not accept it within 48 hours, the request simply expires — no fee, no refund needed, and no impact on either party's EazyRoom account.

3. Tenant Cancels After Booking Confirmation

Once a Host accepts a booking request, a binding licence agreement is formed and EazyRoom charges the Tenant's card the €240 Service Fee.

If the Tenant then decides not to proceed — for any reason, including before check-in has taken place — the Service Fee is non-refundable. This is set out in full in the Payment & Refund Policy, section 6.2.

The Tenant should still notify the Host in writing as soon as possible. If the Tenant has not yet checked in, no further notice period or rent is owed, since the licence has not yet begun.

4. Host Cancels Before Check-In

If a Host cancels a confirmed booking before the Tenant's check-in date, EazyRoom will first try to find the Tenant a replacement room similar to the one they booked — see the Host Agreement, section 6 (Room Substitution).

If the Tenant accepts a suitable replacement, the booking proceeds with the new room and no refund is due. If no suitable replacement can be found, or the Tenant does not accept the one offered, EazyRoom will refund the Platform Fee (€195) to the Tenant's original payment card within 5–10 business days. The Admin Fee (€45) is retained in all circumstances, including when a Host cancels.

Repeated or unjustified Host cancellations are a breach of the Host Agreement and may result in suspension or removal from the platform.

5. Ending an Agreement That Has Already Started

Once a Tenant has checked in, cancelling the booking outright is no longer possible — instead, either party ends the licence agreement by giving notice, as set out in the Host Agreement (section 11) and Tenant Agreement (section 9).

The standard notice period is 14 days in writing, by email or through EazyRoom's platform messaging. The minimum stay and payment commitment of 28 days still applies, regardless of when notice is given.

Rent is payable up to the end of the notice period. The Service Fee was already charged at booking confirmation and is not affected by ending the agreement later.

6. Ending an Agreement Due to a Breach

The standard 14-day notice period does not need to be honoured where the other party has committed a serious or repeated breach of the Host Agreement, Tenant Agreement, or house rules — for example, a Host failing to provide an essential (Host Agreement, section 4), or a Tenant engaging in serious misconduct.

A Tenant who leaves early due to a proven material breach by the Host may be eligible for a partial refund of the Platform Fee portion of the Service Fee — see the Payment & Refund Policy, section 6.5, and the Tenant Agreement, section 10.2. The Admin Fee of €45 is non-refundable in all circumstances.

7. Leaving Without Giving Notice

If a Tenant leaves without giving the required 14 days' notice, the Host may retain the deposit to cover the shortfall, and the minimum 28-day stay commitment still applies regardless of early departure. 8. What This Policy Does Not Cover

This page summarises how cancellations and early departures work. It does not replace or override the fee amounts and refund conditions set out in the Payment & Refund Policy, or the notice and conduct obligations set out in the Host Agreement and Tenant Agreement. Where there is any difference, those documents take precedence.
